1. Who we are

This Privacy Policy explains how RoboIQ (RoboIQ Pty Ltd, ABN 16 661 653 667) collects,
uses, shares and protects personal information through the website at
www.roboiq.com.au and any related
services we operate (“Services”).

RoboIQ is an Australian business and we handle personal information in
accordance with the Privacy Act 1988 (Cth) and the Australian
Privacy Principles (APPs). Where we provide Services to customers in
other jurisdictions, additional protections may apply.

2. Information we collect

We collect information in three ways:

  1. You give it to us directly. When you contact us through
    forms, email, phone or chat we may collect your name, organisation, role,
    email address, phone number and any details you choose to share about
    your operation, requirements or use case.
  2. Our website collects it automatically. When you browse
    the site we may collect your IP address, browser type and version,
    device type and operating system, referring URL, the pages you view,
    timestamps, and limited cookie identifiers used to operate the site
    and the chat widget. The chat widget sends a per-visit “visitor ping”
    event to our backend so the team is notified when prospective
    customers reach key pages; the ping carries the page URL, a
    short-lived session id and your IP address.
  3. We receive it from third parties. When you log in via
    a third party (e.g. for support tools we may operate) or where partners
    introduce you to us, we may receive your name, contact details and
    related context.

3. How we use information

We use personal information to:

  • respond to your enquiries and follow up on opportunities;
  • operate, secure and improve the website and Services;
  • send you operational communications about Services you’ve engaged us for;
  • send marketing communications where you’ve consented or where allowed under the Spam Act 2003 (you can unsubscribe at any time);
  • meet our legal obligations and protect our legal rights.

4. Sharing and disclosure

We do not sell personal information. We share it only with:

  • Service providers (“sub-processors”) who help us run the
    business
    , under contract and only for the purpose for which
    they were engaged. Current key sub-processors include: hosting and CDN
    providers (Ventra IP, Cloudflare), Google Cloud (Firebase Authentication,
    Firestore, Cloud Functions, Cloud Messaging – for the chat backend and
    operator notifications), Google reCAPTCHA (form abuse prevention), and
    email delivery providers used by our CRM. Personal information may be
    stored or processed in Australia, the United States or the European
    Union depending on the provider.
  • Government, regulators or other parties where we are
    required or permitted by law.
  • A purchaser or successor in connection with a
    contemplated or completed business transition (e.g. merger, sale of
    assets), subject to confidentiality.

5. Cookies and similar technologies

We use a small number of cookies and equivalent storage to make the site
work. These include strictly-necessary session storage used by the chat
widget to remember your session id and which pages you’ve already
notified us about during a visit, and Google reCAPTCHA cookies used to
distinguish humans from bots on our forms.

You can clear or block cookies in your browser; some site features may
not work as expected if you do.

6. reCAPTCHA

Forms on this site are protected by Google reCAPTCHA. reCAPTCHA collects
hardware and software information (such as device and application data)
and sends it to Google for analysis. Use of reCAPTCHA is subject to
Google’s
Privacy Policy
and
Terms of Service.

7. Analytics

We may use privacy-respecting analytics to understand how the site is
used in aggregate. Where we use Google services, data may be processed
outside Australia under Google’s terms.

8. Security

We use reasonable technical and organisational measures to protect the
information we hold, including encrypted transport (HTTPS), encrypted
storage at rest with our cloud providers, application-level access
controls, and least-privilege administrative access. No system is
perfectly secure; please do not transmit highly sensitive information
through the public chat widget.

9. Retention

We retain personal information only for as long as is reasonably
necessary for the purposes we collected it for, including any legal,
accounting or reporting requirements. Visitor-ping events and chat
transcripts associated with prospective customer contact are retained
while the lead is active and for a reasonable period afterwards for
follow-up and analytics.

10. Your rights

Under the Australian Privacy Principles you have the right to:

  • request access to the personal information we hold about you;
  • request correction of inaccurate or out-of-date information;
  • complain about how we have handled your personal information;
  • opt out of marketing communications.

To exercise any of these rights, contact us at the address below. We
will respond within a reasonable period (usually within 30 days). If
you are not satisfied with our response, you may complain to the Office
of the Australian Information Commissioner (OAIC) at
oaic.gov.au.

11. Children

Our Services are intended for business users. We do not knowingly
collect personal information from children under 16. If you believe a
child has provided us with personal information, please contact us and
we will remove it.

12. Changes to this policy

We may update this policy from time to time. The “Last updated” date at
the top of this page reflects the most recent change. Material changes
will be highlighted on this page or notified through the Services.
